Chatbots in White Coats — WebSEOMarket Case Study

In     a world where every second counts, especially when it comes to health, innovative methods of patient acquisition become not just an advantage, but a necessity.

Our team set an ambitious goal: in just one week, attract the maximum number of qualified leads for an early cancer diagnostics program using only chatbots. Skeptics claimed that in such a sensitive field as oncology, automated systems would not work. But we believed in the power of technology and its ability to serve people's health.

What happened next exceeded the boldest expectations and proved that in skilled hands, even simple tools can work wonders. Ready to learn how we achieved a result that can change the approach to promoting medical services and perhaps save lives? Let's dive into the case study!

PROJECT PASSPORT
  • Project Description: the company is engaged in informational activities in the field of oncology and also offers high-quality medical services for the public in early cancer diagnostics and modern cancer treatment methods (CyberKnife, Gamma Knife, proton therapy, etc.) across Europe. This company approached many marketing agencies in Latvia, but no one took on the project. The project was practically from scratch (a startup), complex yet fascinating. Right up our alley — so we took on this project.
  • Our Client: facebook.com/xrtherapy.eu/, instagram.com/xrtherapy.eu
  • Service: advertising on Facebook, Instagram, Telegram, WhatsApp, and GPT ads aimed at acquiring new clients who are interested in early cancer diagnostics and modern cancer treatment services, as well as messenger marketing (creating chatbots for communication in messengers).
  • Timeline: March 2020 in this case study, and we continue collaborating to this day.
  • Project Challenges: a startup that had to be built practically from scratch, with a sensitive and complex topic for communicating with potential patients in messengers — for which we brought in a marketer with a higher medical degree and clinical experience in healthcare.

WHAT WE DID

  1. We designed and branded accounts across all social networks (Facebook, Instagram, Telegram, Google Maps). We updated the logo and page cover so that everyone could immediately see what the company does. We changed not only the style, but also the color palette:
Example of branding and cover design for the official project page on Facebook Example of branding and cover design for the official project page on Facebook
Brand styling and visual positioning in the Instagram feed Brand styling and visual positioning in the Instagram feed
  2. At the very beginning of our work on targeted social media advertising, we segmented the target audience. We selected 6 different target audience segments and created several ad variations for each. We then launched the ads and tested the audience across Latvia, Estonia, Lithuania, and further across Europe (we even ran ads in the USA). We needed to understand the actual demand for this service, how best to communicate with the audience, and what and how to offer — which communication approaches work best for treatment versus diagnostics. There was a lot of work involved.
  3. Next, we focused on content marketing: publishing content that wasn't just promotional, but genuinely interesting and relevant to followers. For example, we launched regular columns such as "ABC of Health: Nutrition", "ABC of Health", as well as a calendar of medical awareness dates:

  4. We set up a chatbot that politely explains what the company does, provides a link to the website, and offers the option to call and get a consultation from a doctor (chatbot link: https://m.me/xrtherapy.eu):

  5. Given that our goal across Facebook, Instagram, Telegram, and GPT ads was lead generation, we integrated these pages into a CRM system, along with all available messengers where inquiries also arrived — ensuring convenience for the client and full business automation.
  6. We adapted all ad creatives for Stories, Facebook and Instagram feed posts, and other placements to maximize lead collection.
  7. As mentioned above, we continuously ran targeted ads to generate inquiries and new followers — and crucially, we integrated chatbots directly into the advertising. These chatbots not only answered patients' questions instantly 24/7, but also collected leads from multiple touchpoints: Facebook Messenger, Instagram Direct, WhatsApp, Telegram, GPT, and even comments under sponsored posts. This created a steady stream of leads — take a look:

TEST CAMPAIGN AND CHATBOT FUNNEL

For example, from March 4 to March 11, we ran a targeted ad campaign with a budget of €10. Here is what the ad creative looked like:

The reach of this ad was 4,025 people, with 834 people engaging with the ad, including 25 likes, 13 shares, and 89 comments. You can see this in the screenshot below:

The result of this ad campaign was very impressive — 71 people were brought into the messenger funnel for just €10. These figures can be seen in the statistics of the lead-collecting chatbot itself:

All leads (prospective patients) inquired about checkup pricing, the scope of examinations, and scheduling availability, and asked to book a diagnostic appointment — meaning every single one of them was a qualified lead that converted into a patient.

Here is what the chatbot looked like inside Messenger. The screenshot shows that we built 2 separate response flows — tailored specifically for men and for women:

CASE STUDY IN NUMBERS: OUR RESULTS

10 €
7-day test budget
71
Qualified leads in the bot
0.14 €
Cost per lead
42,600 €
Clinic revenue in 7 days

Results of our work: In 7 days, our ad reached 4,025 people, with 834 people interacting with the advertisement — 25 likes, 13 shares, and 89 comments for €10. Through our messenger marketing sales funnel, the chatbot engaged 71 patients.

To put the scale into perspective: acquiring a patient via social media ads cost €0.14, while a single diagnostic checkup brings the clinic around €600. This is not an ad expense — it is a high-margin investment. A €10 ad spend turned into €42,600 in revenue for our client in just 7 days of working with our agency. Not a bad result at all, don't you think?!

Furthermore, the number of social media followers grew significantly in one month of work from 124 to 696, their conversion rate into patients improved, and the cost per lead dropped nearly 35-fold. Indirectly, organic website traffic doubled — even before launching Google Ads.

Review from the Medical Center Owner: Working with your team is always a true pleasure! Your unique expertise in chatbots helps create solutions that go far beyond the local market. Our joint project has become a true international case study, and that is largely thanks to your professionalism and understanding of modern technologies. We especially appreciate your attention to detail and ability to adapt quickly to new challenges. We are delighted to move forward together, creating accessible, innovative services for the prevention and treatment of neoplasms of various localizations!

CONCLUSION AND SCALING

Conclusion: The cost per inquiry in this case study was €0.14. In the medical niche, where calls and advertising are typically expensive, these numbers speak for themselves: our unique social media promotion system pays for itself from day one.

The secret lies in our unique combination of promotion channels across Facebook, Instagram, Telegram, WhatsApp, GPT, and even YouTube. Many businesses simply lack this integrated ecosystem, which is why their advertising fails to deliver expected results. Meanwhile, our system performs exceptionally well across diverse business niches: from healthcare to various service industries, manufacturing, and e-commerce (online stores).

Next, we need to accelerate work on the client's website and launch Google Ads, given the strong demand for these services — scaling and operating not only across social networks, messengers, and AI platforms, but also on Google and through SEO in countries around the world.

Want your advertising to stop being an expense and become a high-return investment? Get in touch with us — we will test your niche and launch a chatbot that collects inquiries or orders for your business 24/7. You can contact us below via the form on our website.

At the time of writing this case study, our collaboration continues, and our agency has scaled this project from a local initiative into an international project generating a steady stream of service inquiries. Here you can read more about this service (messenger marketing).
